Communication and service
We design a way of handling clients where the usual questions resolve themselves and the team only gets what genuinely needs a person. It stops depending on who happens to be free.
We look at how your team works today, measure where the time goes and redesign the process that costs you most. Your company stays the same, your systems stay put and your people keep doing their job: what changes is everything that makes them lose hours.
Choose your sector
We work with any company that runs on manual processes, but in these two sectors we know the operation from the inside. Pick yours to see the detail.
Hotels and accommodation
Calls lost at peak hours, overbooking across channels, manual check-in and the mandatory guest report.
See hotel operationsDental clinics
Slots nobody fills, patients who never show up, check-ups nobody reminds and treatment plans left unclosed.
See clinic operationsAnother sector? The method works for any operation with a heavy admin load. These two are where we know the business from the inside. Tell us your case
Your team spends 15 to 40 hours a week on tasks that shouldn't exist: copying data between systems, answering the same questions, chasing clients on WhatsApp, remembering things, following up by hand. Every hour there is an hour not spent selling, serving better, or improving the offer. Some of that work doesn't need to be shared out better: it needs to disappear. This is not about doing the same things faster — it is about having fewer things to do by hand.
What that actually means
When we say operational transformation we don't mean rebuilding your business, changing software, reorganising departments or sending your team to learn technology. We mean looking at how the work is done today, removing the steps that add nothing, letting the machine handle what repeats and connecting what currently runs apart. The company stays yours; what goes down is the effort it takes to keep it running.
How it works, step by step
01
Understand
How you work today — for real, not on paper.
02
Detect
Where there is unnecessary work, errors or opportunities falling through.
03
Prioritise
Which process is worth touching first. Rarely the flashiest one.
04
Design
How it should work, and what a person still decides.
05
Implement
We build it and put it live on what you already have.
06
Measure
The same figure before and after. Change the yardstick and there is no comparison.
07
Evolve
If there is potential left, we go for the next process.
Before → after
We don't ask you to trust a promise. We measure what changes in your operation.
Before touching a process we establish its starting point: how much work it takes, how long it runs, how often it happens in a month, how many hands it passes through and where errors, waits and duplicated effort show up. We call it the Operational Baseline. Once the new process has been running for a while we measure the same things again, with the same method and over a comparable period. That is the difference between an improvement and a feeling.
The three questions we always get
Do I have to transform the whole company?
No. We start with one process: the one with a clear opportunity to improve. We design it, put it live and measure the result. If it works, we continue. If it does not, you risked one process, not your operation.
Do I have to change software?
Almost never. You can keep using the tools you already know. Whenever it is technically viable, we build on them and connect what today runs separately. Replacing a system is the last option, not the first.
And my team?
It keeps doing what it does well. Nobody has to learn a new set of tools: the technology works behind the process, and what the team notices is a day with fewer interruptions and less to chase.
The worst that can happen is that a process does not improve. And you will know before anyone else: from the figure, not from our opinion.
These are the areas we work in. It is not a product catalogue: they are processes that already exist in your company and can almost always be done another way. Which one comes first is decided by your operation, not by our list.
We design a way of handling clients where the usual questions resolve themselves and the team only gets what genuinely needs a person. It stops depending on who happens to be free.
We sort out what happens between someone asking and someone deciding. No opportunity waits for a reply or goes cold because nobody remembered to call back.
We look at how your calendar fills and empties: what gets confirmed, what falls through, which slot goes uncovered and how much manual work it takes to hold together. There is usually money sitting there.
We make data travel between your programs instead of living in someone's head or in a spreadsheet. It gets typed once and arrives where it needs to be.
Invoicing, reconciliation, mandatory reports, time tracking, handoff to accounting. Work that has to be done either way and rarely needs a person to do it.
So management can see what is happening in the business without asking three people or waiting until the 18th. And see it always, not when someone finds the time.
Four phases, with fixed timelines. Your team keeps working throughout. No endless contracts, no vague promises, no year-long projects.
We analyse how your operation works today: processes, systems, bottlenecks and where hours and opportunities are lost. We deliver a written diagnosis: which process is worth improving first and what can be expected from it. Fee from €490 — fully deducted from the project if you hire us within 30 days.
Before changing anything, we get that process measured exactly as it works today: that is the reference everything will be compared against. With it in front of us we design how it should work and where your team still has to decide. We review it with you before touching anything.
We build, connect and go live. In phases: first the process that hurts most, and the rest of the company stays exactly as it is until you decide to continue. You see results from phase one, not at the end of the project.
We don't hand you a report and disappear. We measure the process again to see what actually changed, fix what breaks, add what you need, and evolve the system as your business grows.
No showcase percentages here. What we do know is where the improvement shows up when a process is properly redesigned. How much, in your case, comes from measuring your process before touching it and measuring it again afterwards.
Admin hours
Repetitive work (data entry, answering the same questions, manual reminders, invoice reconciliation) that stops being done at all. It is not that the team goes faster: it has fewer things to do, and the ones left genuinely need a person.
No-shows and conversion
When every slot has a next step and nothing waits for someone to remember, fewer appointments fall through and more close. Without adding sales headcount or more calls at the front desk.
Operational errors
Billing mistakes, incomplete reports, bad handoffs to accounting. A properly built process reduces them measurably, with a person validating at the points where a mistake is expensive.
The figure we show you will come from your operation, with its calculation logic in writing. Never from another client.
Three examples of where things usually jam, by type of business. Not catalogue products, and not publishable clients yet.
In a hotel too much ends up going through the desk: data to copy into the PMS and the guest report, the same information given to guests for the tenth time, reviews left unanswered. You redesign how that information moves between guest, desk and systems, and reception goes back to the person in front of them.
Between someone asking and finishing treatment there are eight points where patients are lost. We measure which ones they fall through in your clinic and redesign those: the person who writes at 10 pm gets an answer, the slot that frees up has a next step, and the quote left hanging does not wait for someone to remember it.
When the information lives in two people's heads and everyone else has to ask them, the symptom is the same in any sector. That can be measured and put in order too; what changes is the business, not the way we work.
This is not a difference of words. Wiring two tools together so a task runs on its own leaves the process exactly as badly designed as it was, only faster. What we do starts one step earlier: asking whether that process makes sense the way it is. Technology comes afterwards, and only the part that is needed.
Isolated automated tasks.
A connection here, an alert there. They work for two months, they break, nobody can fix them. And the process is still designed the way it was: nothing really changes in how the business operates.
That is why we do not charge for development hours or for the number of automations: what we deliver is a process that works better than before, and we show it to you with your own numbers.
Built with, in case you were wondering
We do not start from a tool and look for a use for it. We start from a problem in your operation and pick whatever solves it best. This list will change over the years; the way we frame the process will not.

We are opening three slots on founder terms for projects we can document and publish. In exchange for telling that story — with your permission and your review first — you get a price and a level of support reserved for these three slots.
Founder Pack · 3 slots
€1,950 one-off
Includes
From the third month, maintenance from €290/month, no lock-in.
What we ask in return
That you let us publish your case once the system is running, after you have read and approved it. That is the whole deal: founder terms in exchange for a case we can show.
Three slots. Once they are taken, we pull this offer.
Before changing anything, find out what is worth improving and in what order. This is not a disguised sales call: it's a real, written, signed diagnosis — with a symbolic fee that you get back in full if you decide to work with us.
Hire us within 30 days and we deduct 100% of the audit fee from the project.
We charge for the audit to make sure only companies that are serious come in. If you are serious, you don't pay it: the project you contract pays for it.

What you get
The document is yours even if we don't end up working together, and it commits you to nothing: you leave with your operation's priorities in order, whether you continue with us or not. We only accept a limited number of audits per month so we can deliver each one in a week.
If we keep working together after the audit
Implementation
Projects from €6,000, depending on scope defined in the audit. In phases, with results from the first one.
Maintenance
From €290/month, no commitment. System monitoring, adjustments and new improvements included.
FlujoAI is an operational transformation firm. We learn how an operation works today, find where it can improve, design a better way of working and build the system that makes it possible. We work with few clients at a time so we can genuinely get inside their day-to-day, and we bring in specialists when a project calls for it.
We don't sell off-the-shelf software, and we are not consultants who hand over a report and leave. We analyse and we also build. We specialize in two sectors, hotels and dental clinics, because that is where we already know, without anyone telling us, what burns hours, what creates errors, and where the money is being lost.
If we're a fit, we'll tell you. If we're not, we'll tell you too. We work from Spain with clients in Spain, Latin America, and Europe. No bureaucracy and no corporate speak.
What people ask before hiring.
An example. Automating appointment confirmation means sending everyone a WhatsApp the day before. Improving the process means asking why appointments fall through, who actually needs confirming and what happens to the slot when someone cancels, and building that. The first saves a few calls; the second fills the calendar. And the second does not require rebuilding the company or changing software: it is done one process at a time.
Because we measure it before touching anything, and the result we would call a success is agreed with you in writing at that point, not at the end. Then the same things are measured over a comparable period — in a hotel, the same time of year; in a clinic, August does not count. If the process has not improved, you will see it on the same page where we signed the target.
The audit takes 1 week. From there, Phase 1 — the process that hurts most — goes live in 2–3 weeks from the moment we have the access it needs: PMS, calendar, email, whatever applies. That detail matters, because that is usually the bottleneck and we will not sell you a deadline that depends on something outside our control. A system with many integrations or complex validations can stretch to 5–6 weeks, and we tell you that in the audit, not afterwards. Later phases follow on, each with its own fixed timeline.
No. We handle everything: design, implementation, integrations and maintenance. You bring business knowledge and access to the systems. You don't need a CTO or to know what sits underneath: the technical side is ours from start to finish.
The ones you already use. Hotels: Cloudbeds, Mews, Opera, Noovy and similar. Dental clinics: most dental software with an API (Gesden, Klinikare, NS-Dental, Dentalink, etc.). And the common ones: Google Workspace, Microsoft 365, HubSpot, Pipedrive, WhatsApp Business API, Notion, Slack. Replacing software only comes up if there is no other way: if your system is legacy or closed, we evaluate it in the audit and tell you what can be done without touching it.
There are two routes. The standard one: a refundable initial audit priced by company size (€490 small, €790 mid-size, €1,200 large), fully deducted from the project if you hire us within 30 days; then a first implementation phase from €6,000 depending on the scope of the process and the integrations involved, and maintenance from €290/month with no lock-in. And the founder route: a €1,950 one-off pack that includes the full audit, the Phase 1 implementation and the first two months of maintenance — limited to the founder programme, in exchange for being able to publish their case with their permission. The audit document is yours either way.
Because "free" attracts the curious, and going deep into an operation takes a full week of our team's work. A symbolic fee filters: we only sit down with companies that have a real problem and the willingness to solve it. And because it's refundable, if you're serious it costs you nothing — the project absorbs it. Anyone looking for a free "exploratory call" doesn't pass this filter, and that protects the quality of the diagnosis we deliver to those who are serious. If you just need quick orientation, we'll reply on WhatsApp or email at no cost.
Every system we deploy includes monitoring, alerts, and human validation checkpoints where the cost of an error is high. AI has clear limits: what it decides and what it escalates to a person. The goal is to eliminate human error caused by fatigue, not to introduce a new one because AI feels like it.
Yes. We work with GDPR-compliant providers. Your data stays in your systems — we connect them, we don't hoard them. We sign an NDA if you need one, and we never share client information with third parties under any circumstances.
We stay. Live systems need monthly maintenance: APIs change, tools update, processes need adjusting as the business evolves. The monthly fee covers monitoring, adjustments, improvements and any new processes needed. If we're not delivering more value than we cost, you cancel — no lock-in.
No, and we would not recommend it. The first process is chosen in the audit on two criteria: a lot at stake, and something that can be measured properly. While we put it live, the rest of the company carries on exactly as it is, and nobody has to reorganise departments or change programs for this to move forward.
That is not what we do or what we sell. What we remove are the tasks that do not need a person: copying data from one place to another, answering the same thing twenty times, remembering to follow up. Decisions that need judgement stay with people, and exceptions are escalated to the team. The goal is not for your staff to do more tasks per hour — it is for their time to go to guests, patients and clients.
We have specialised in two, hotels and dental clinics, and that is where we almost always work. If your business is something else but carries the same operational load, write to us and we will tell you straight whether we fit: if we don't know your sector, we say so and refer you to someone who does. We would rather lose a project than do it halfway.
Have a question that's not here? Ask it directly.
Talk to the teamEvery week your team spends 20 hours on work that could be doing itself, that's 20 hours taken away from the customer in front of you. Multiply by 12 months. And you don't have to solve all of it: the question is not whether improving is worth it, it's which process you start with.
Tell us what your company does, which processes burn hours, and where it feels chaotic. We reply in under 24h.
